Frequently Asked Questions
Everything you need to know about SyncXP.
SyncXP is a macOS expense tracking application that uses AI to scan and extract data from receipts automatically. Instead of manually entering merchant names, dates, and amounts, you photograph a receipt and SyncXP reads it for you — categorising the expense and adding it to your records in seconds. It is designed for freelancers, contractors, and small businesses who want expense tracking to stay out of their way.
When you scan a receipt, SyncXP sends the image to our AI engine which uses optical character recognition (OCR) and machine learning to identify the merchant, date, total amount, VAT, and line items. The result is returned to the app within seconds and added to your expense log. Each scan uses one AI scan token from your account balance.
A perpetual licence means you pay once and own the software outright — there are no monthly or annual subscription fees. You can use SyncXP for as long as you like. Future major version upgrades may be offered at a discounted upgrade price, but your existing version will always remain fully functional on current supported platforms.
AI scan tokens are credits that power the receipt scanning feature. Each receipt scan uses one token. Your perpetual licence includes 1,200 tokens to get you started. Tokens have no use-by date — they never expire, so you can use them at your own pace. When your balance runs low, you can top up with additional packs of 1,200 tokens for £10 (ex VAT).
SyncXP will notify you when your token balance is running low. Once you reach zero, AI scanning is paused until you top up. You can purchase additional tokens at any time from the SyncXP website — there is no limit on how many you can buy, and they never expire.
Yes. SyncXP uses end-to-end encryption to protect your financial data. Receipt images are transmitted securely for processing and are not stored on our servers once scanning is complete. Your expense records are stored locally on your device and are never shared with third parties.
SyncXP currently supports macOS (Intel). Apple Silicon (arm64) and Windows versions are in development and will be made available in a future release. If you would like to be notified when your platform is supported, please contact support@syncxp.co.uk.
Yes. SyncXP extracts VAT amounts from receipts automatically and categorises them alongside your other expense data. You can generate reports that break down expenditure by category, making it straightforward to prepare VAT returns or pass records to your accountant. Export to CSV or PDF is supported.
After completing your purchase you will be taken directly to the download page. Download the
.dmg installer, open it, and drag SyncXP into your Applications folder. Launch the app and sign in to your account to get started. If you need help, our full installation guide is available in the documentation.
SyncXP keeps your devices in step through your own cloud (Dropbox or OneDrive) — your data never passes through our servers. Connect the same cloud account on each device, then use Push and Pull: Push uploads a device's data to your cloud, and Pull updates another device from that cloud copy.

Everything lives in a single master folder in your cloud (default name
Sync XP), containing App Data and Receipt Storage. This folder is created automatically the first time any device connects — you do not need the SyncXP Snap app for sync to work. If the folder already exists (from another device or Snap), SyncXP reuses it rather than creating a duplicate.Important: use the same sync-folder name on every device (the default
Sync XP is recommended). If one device uses a different name, it syncs to a separate folder and your devices won't see each other's data. Push replaces the cloud copy and Pull replaces that device's data with the cloud copy, so always Push from the device with your latest data first.
You can reach the SyncXP support team by emailing support@syncxp.co.uk. We aim to respond to all enquiries within one business day. For common issues, please check the documentation first as your question may already be answered there.
SyncXP is privacy-first by design — most of your data is stored on your own device or in your own cloud storage, so you have direct control over it. For the SyncXP Snap mobile app, simply uninstall the app and revoke its access from Dropbox or Google Drive to remove all data. For the desktop app, you can request deletion of any server-side records (such as your licence key) by emailing support@syncxp.co.uk. For full instructions, see our Account & Data Deletion page.
